How to access and share check-in links

When you have a virtual event, you have several Check-in options: (1) Check in candidates yourself on your own device, (2) Candidates check themselves in on their own devices, and (3) Sharing a check-in link for the candidate to check themselves in on their computer browser. You can access these options from the "Check-in Center" on the event page.

To check in a candidate yourself using your own device, select the "Manual Check-In" option and follow the prompts on the screen as you're speaking with the candidate. You will first be prompted to input their email address. If the candidate already has a profile on RippleMatch tied to that email address all of their information will be automatically pulled through and they will be marked as an attendee in your records. If the candidate does not have a profile tied to that email address, you will be prompted to input all additional information that you customized during your event creation.

To have candidates check themselves in on their own device, select the "Attendee Self Check-In" option to open the uniquely generated QR code for that specific event. It will open a page that is customized to your company and the name of the event. Candidates can scan the QR Code on their phones to open the check in screen where they will be prompted to input their email address. If the candidate already has a profile on RippleMatch tied to that email address all of their information will be automatically pulled through and they will be marked as an attendee in your records. If the candidate does not have a profile tied to that email address, they will be prompted to input all additional information that you customized during your event creation.

You can use the 'Copy Check in Link' option to copy a web browser link equivalent of a QR code to your clipboard. You can then paste this link in the chat of the web conferencing tool that you are using for candidates to click on to check themselves in. It will follow the same process as the option above.

Leading up to your event, you should decide upon your desired check-in method and prepare your resources accordingly. You can share your screen to show candidates your QR Code, paste the check-in link in the chat of the web conference, or check candidates in yourself.

Additionally, any candidate who RSVPed ahead of time for your event and received a reminder email will be automatically marked as an attendee when they click the 'Join Event' button in the reminder email as they're being routed into your web conference.

This step of having candidates check in during your event is essential to collecting candidates’ data so that you can later track analytics, follow up with emails or job applications, and keep all data from your events in one place.
